How to create, edit, select, clear and delete departmental accounts, manage account and supervisor passwords, and check the piece count on the Mailcoms Mailbase.

How do I create an account on the Mailbase?

Departmental accounts let you track postage by department. Create an account from the accounts menu.

  1. From the Home screen, press the selection key next to ACCT or Select an Account to open the accounts menu.
  2. Select Create an Account.
  3. Key in a name (up to twelve characters – press a number key repeatedly for letters) and select Continue.
  4. Press Yes/Enter to create another account, or No to finish.
  5. Press Clear or Home to return to the Home screen.

How do I edit an account name or password on the Mailbase?

  1. Open the accounts menu (ACCT / Select an Account).
  2. Press Page Down and select Edit an Account.
  3. Select the account by keying its number or using the selection key.
  4. Choose Edit Acct Name to change the name, or Edit Acct Password to set a 4-digit password (enter it twice and select Set).
  5. Press Clear three times or Home to return to the Home screen.

How do I turn account passwords on or off on the Mailbase?

When turned on, operators must enter a password to choose an account.

  1. Open the accounts menu, press Page Down twice and select Acct Passwords.
  2. Select Turn Passwords ON (or Turn Passwords Off).
  3. If turning on, select an account and enter its 4-digit password to return to the Home screen.

Note: The Supervisor Password must be turned on before you can use account passwords.


How do I select an account on the Mailbase?

  1. Open the accounts menu (ACCT / Select an Account).
  2. Select Select an Account.
  3. Key in the account number or use the selection key.
  4. Enter the 4-digit password if one is assigned.
  5. You return to the Home screen with the account name shown.

How do I view or clear account totals on the Mailbase?

  1. Open the accounts menu, press Page Down and select Display Acct Totals.
  2. Select the account – the number, name, pieces and value used are shown. Select Continue.
  3. Choose Clear this Account, View another Acct, or Done.

Caution: Clearing an account permanently removes its totals.


How do I delete an account or clear all accounts on the Mailbase?

  1. Open the accounts menu (ACCT / Select an Account).
  2. To delete one account, select Delete an Account, choose the account and press Yes/Enter.
  3. To clear all totals, press Page Down twice, select Clear All Accounts and confirm.
  4. Press Clear or Home to return to the Home screen.

Caution: Deleting or clearing accounts permanently loses the data.


How do I set the supervisor password on the Mailbase?

The supervisor password prevents unauthorised access to refilling and setup.

  1. Press Menu and select Setup.
  2. Scroll if needed and select Lock Code/Password.
  3. Select Enable or Disable Password.
  4. Enter the new supervisor password and select Accept, then re-enter it and select Accept.
  5. At the Password Enabled message, select OK.

How do I check the piece count on the Mailbase?

  1. Select Envelope Printing.
  2. The total number of items franked shows in the top right corner of the screen.

Open the accounts menu, select Delete an Account, choose the account and press Yes/Enter. The data is then lost permanently.
