How do I add postage to the DM110i, DM160i or DM220i?
- From the home screen, press Add Postage.
- You have two options: the top option adds your default refill amount; the second option lets you choose a custom amount.
- To add your default amount, select the top option and the machine will add the credit.
- To add a different amount, select Add Another Amount and use the keypad to enter the amount.
- Once the amount is shown, click Continue.
- The machine connects to the Data Centre and adds postage.
- Once complete, the machine offers a refill receipt. Press Yes/Enter and feed an item to print the receipt, or press No to return home.
Note: The DM110i, DM160i and DM220i can only refill in multiples of £50. Attempting to refill by another amount will generate an Error 104.
How do I send international mail on the DM110i, DM160i or DM220i?
Due to postal requirements, only personal correspondence can be sent internationally through a franking machine. Click here for guidance on what counts as personal correspondence.
- Press Class.
- Select RM Intl.
- Select your desired international class (e.g., Int Standard).
- Select the destination zone: Europe 1, Europe 2, Europe 3, or press Page Down to see ROW 1, ROW 2 and ROW 3 (world zones 1, 2, 3).
- Select the mail size (e.g., Letter). The machine returns to the home screen.

How do I frank Pre-Paid Reply mail on the DM110i, DM160i or DM220i?
Note: This feature is only available on Mailmark-compatible machines. It applies to letters only (not parcels), and the maximum weight is 100g.
- From the home screen, press Select a Carrier.
- Select Royal Mail Domestic.
- Press Page Down until Pre-Paid Reply is shown. Select it.
- Select 1st or 2nd Class.
- Select Letter or Large Letter.
How do I perform a surcharge payment on the DM110i, DM160i or DM220i?
- From the home screen, press Select a Carrier. Two options display: Royal Mail and Surcharge.
- Select Surcharge Payment.
- The screen shows Surcharge again — select it.
- The screen displays Class Surcharge Option with a flashing cursor. Enter the required value.
- If the amount is correct, press the green Yes/Enter button. If incorrect, press the red No button to go back and re-enter.
- After pressing Yes/Enter, confirm the amount again by pressing the green button once more.
What do error codes 7, 11 and 104 mean on the DM110i, DM160i or DM220i?
Error 7: A hold has been placed on your postage account, usually due to lack of connection activity to the manufacturer’s server. Email your company name and meter number to info@mailcoms.co.uk with the subject line Error 7 and we will contact the manufacturer to have it removed.
Error 11: A hold has been placed on the meter, usually due to an unknown equipment location, non-payment of invoices, or a similar account issue. Email your company name and meter number to info@mailcoms.co.uk with the subject line Error 11.
Error 104: You are attempting to refill by an amount that is not a multiple of £50. The DM110i, DM160i and DM220i can only refill in increments of £50 (£50, £100, £200, etc.).
How do I check my Postage by Phone balance on the DM110i, DM160i or DM220i?
- Press Add Postage.
- Select Check PbP Balance.
- The machine connects to the Data Centre (this may take a few minutes). Various status screens display during the process.
- Your Postage by Phone account balance displays. Select Continue to return to the home screen.
How do I check my last postage download on the DM110i, DM160i or DM220i?
- Press the Reports button (it may prompt you to press Printable Reports).
- Select Add Postage report.
- Feed a label or envelope when prompted to print the report.
- The report shows the last 5 refills, including date, time and account number.
How do I check the available funds on my DM110i, DM160i or DM220i?
Select Funds from the home screen and scroll through to see Used and Unused totals. Unused is the balance available to frank mail.
If you have zero available funds and need to add postage immediately, a BACS or Bank Transfer payment can be made to:
- Sort Code: 20-36-98
- Account Number: 90792950
- Account Name: Postage by Phone
- Include your Recrediting Account Number as the payment reference.
BACS payments typically take 4–5 working days to clear. For urgent access to funds after payment, email the bank remittance to info@mailcoms.co.uk with your used and unused readings.
How do I turn Paperless Billing on or off for my Pitney Bowes account?
Turn on Paperless Billing
- Sign in to your account at pitneybowes.co.uk/signin.
- From the Billing & Financials dropdown, select Paperless Billing.
- Next to Paperless Status, select Go Paperless.
- Select Turn On Paperless For This Account, then click Close.
Turn off Paperless Billing
Note: Turning off paperless billing adds a £5 (ex. VAT) paper charge to future invoices.
- Sign in to your account at pitneybowes.co.uk/signin.
- From the Billing & Financials dropdown, select Paperless Billing.
- Next to Paperless Status, select Edit Settings.
- Select Turn off Paperless, then click Close.
How do I turn billing email notifications on or off for my Pitney Bowes account?
- Sign in to your online account portal.
- From the Billing & Financials dropdown, select Billing Notifications.
- Use the toggles to turn notifications On or Off for each required account.
Note: If an account has paperless billing enabled, at least one email address must have notifications turned on.
