How to replace the ink cartridge, clean the print nozzles, run a test print, and print postage, surcharges, date corrections and prepaid returns on the SendPro Mailstation and Mailsend Lite.

How do I replace the ink cartridge on the Mailsend Lite?

The device tells you when ink is low, and you cannot print postage until you replace the cartridge. Order replacement cartridges from Mailcoms.

  1. Tap Settings.
  2. Tap Ink Functions.
  3. Tap Replace Ink.
  4. With the new cartridge ready, tap Yes.
  5. Lift the ink door by pulling up on the tab and remove the old cartridge (push it down until it clicks, then pull it out).
  6. Remove the shipping tape from the new cartridge.
  7. Insert the new cartridge with the label facing you and push until it clicks.
  8. Close the cover and follow the prompts.

Caution: Do not touch the metal parts (they may be hot) and do not shake the cartridge, as ink may spill.


Why is my Mailsend Lite printing poorly?

Poor or missing print is usually the ink cartridge or print nozzles. First make sure you have a Mailcoms Royal Mail Approved ink cartridge installed, then clean the nozzles and run a test print.

  1. Tap the Settings cog icon.
  2. Tap Ink Functions.
  3. Tap Clean Ink Nozzles – the cleaning process runs.
  4. When complete, tap Done.
  5. Tap Create Test Print and insert a single franking label to check the result.

How do I run a test print on the Mailsend Lite?

  1. Tap the Settings cog icon.
  2. Tap Ink Functions.
  3. Tap Create Test Print.
  4. Insert a single franking label – the device produces a test print to compare against the on-screen samples.

How do I print postage on the Mailsend Lite?

  1. Place your envelope on the scale or enter the weight manually.
  2. If accounting is enabled, tap Cost Account to select an account, or leave the default selected.
  3. Check the correct class and size are selected using the arrows at the top of the display.
  4. Insert the letter, pushing all the way to the back and right – the device clamps it and prints. The power button flashes while printing.
  5. When finished, remove the letter – do not pull it out while the power button is flashing.

How do I print a surcharge (extra postage) on the Mailsend Lite?

A surcharge prints a custom amount from £0.00 up to £999.99 when an item needs more postage.

  1. If accounting is enabled, tap Cost Account, or leave the default selected.
  2. Tap the arrows at the top of the display and tap Custom Job.
  3. Tap the down arrow and tap Surcharge.
  4. Enter the amount and tap Apply.
  5. Insert the envelope or tape to print.

How do I print the date and time (timestamp) on the Mailsend Lite?

Use Print Date & Time to timestamp incoming mail.

  1. Tap Settings.
  2. Tap the right arrow to advance to page 2.
  3. Tap Print Date & Time, then Print Date & Time again.
  4. Insert the letter to print the date and time.

How do I print a date correction (re-date) on the Mailsend Lite?

If you franked today’s date but missed the collection, print a future date on the back of the envelope before posting.

  1. Tap Settings.
  2. Tap Date Settings.
  3. Tap Correct Date with zero value print.
  4. Tap Select Date to Print, choose the date and tap Apply.
  5. Turn the envelope to the blank side and insert it – the mark shows Redate.

How do I print a prepaid return envelope on the Mailsend Lite?

  1. If accounting is enabled, tap Cost Account, or leave the default selected.
  2. Tap the arrows at the top of the display and tap Custom Job.
  3. Tap the down arrow and tap Pre-pay Reply for First Class or Second Class as appropriate.
  4. Tap Letter or Large Letter – your chosen class shows in the top ribbon.
  5. Insert the envelope or tape to print.

How do I view my reports on the Mailsend Lite?

View and export a report of your postal transaction history from your Online Postage Account on a computer.


What does ‘Unable to print stamp’ or ‘Printer temperature high’ mean on the Mailsend Lite?

‘Unable to print stamp’ means the device contract is no longer active – disconnect the USB scale, restart the device, then hard reboot if needed, and contact your supplier if it continues. ‘Printer temperature high’ with a fast flashing blue light means the lift motor is too hot – do not print more than 300 stamps at a time. Let the device sit idle for about two hours to cool, without powering off or opening the ink door.
