How do I replace the ink cartridge on the SendPro Mailstation?
When the device is out of ink you cannot print postage until you replace the cartridge. To replace it, open Ink Functions in Settings and follow the prompts.
- Tap Settings, then Ink Functions, then Replace Ink.
- With the new cartridge ready, tap Yes.
- Lift the ink door by pulling up on the tab and remove the old cartridge (push it down towards the table until it clicks, then pull it out).
- Remove the shipping tape from the new cartridge.
- Insert the new cartridge with the label facing you and push it into the slot until it clicks.
- Close the cover and follow the on-screen prompts.
Caution: Do not touch the metal parts (they may be hot) and do not shake the cartridge (ink may spill). Only use Mailcoms Royal Mail approved ink cartridges.
How do I clean the print nozzles on the SendPro Mailstation?
If print quality is poor, clean the ink nozzles, then run a test print.
- Tap the Settings cog icon.
- Select Ink Functions.
- Select Clean Ink Nozzles — the machine starts cleaning.
- When complete, select Done.
- Select Create Test Print and insert a single franking label to check the result.

How do I fix poor print quality on the SendPro Mailstation?
Poor or missing print is usually an ink cartridge problem or the nozzles need cleaning. Make sure you are using a Mailcoms Royal Mail approved cartridge, then run a test print and clean the nozzles.
- Confirm a Mailcoms Royal Mail approved ink cartridge is installed.
- Tap Settings > Ink Functions > Clean Ink Nozzles, then Done.
- Tap Create Test Print and insert a franking label to check the result.
How do I print postage on the SendPro Mailstation?
- Place your envelope on the scale or enter the weight manually.
- (Optional) If accounting is enabled, tap Cost Account to select an account.
- Check the correct class and envelope size using the arrows at the top of the display.
- Insert the letter, pushing it all the way to the back and right. The device clamps it and prints; the power button flashes while printing.
- When printing finishes, remove the letter — do not pull it out while the power button is flashing.
How do I print a surcharge on the SendPro Mailstation?
A surcharge lets you print a custom amount (from £0.00 up to £999.99) on an envelope or tape when an item needs extra postage.
- (Optional) Select a Cost Account if accounting is enabled.
- Tap the arrows at the top of the display to scroll to Custom Job.
- Tap the down arrow and select Surcharge.
- Enter the amount and tap Apply.
- Insert the envelope or tape, pushing it to the back and right to print.
How do I print the date and time on the SendPro Mailstation?
Use Print Date & Time to timestamp incoming mail.
- Tap Settings, tap the right arrow to page 2, then tap Print Date & Time.
- Tap Print Date & Time again.
- Insert the letter, pushing it to the back and right — the device prints the date and time.
How do I print a date correction on the SendPro Mailstation?
If you already printed today’s date and postage but missed the mail pickup, print a future date (zero value) on the back of the envelope before posting.
- Tap Settings, then Date Settings.
- Tap Correct Date with zero value print, then Select Date to Print.
- Tap the date you want and tap Apply.
- Turn the envelope to the blank side and insert it to print. The word “Redate” appears on the new mark.
How do I print a prepaid return envelope on the SendPro Mailstation?
Print a prepaid return envelope, card or label so the recipient can return an item at no cost to themselves.
- (Optional) Select a Cost Account if accounting is enabled.
- Tap the arrows at the top of the display to scroll to Custom Job.
- Tap the down arrow and select Pre-pay Reply for second class or Pre-pay reply for First class.
- Tap Letter or Large Letter — your chosen pre-pay class shows in the top ribbon.
- Insert the envelope or tape, pushing it to the back and right to print, then remove it once the power button stops flashing.
How do I print reports on the SendPro Mailstation?
You can view and export a report of your postal transaction history from your Online Postage Account. Sign in on a computer to view and print your reports.
