Maintenance
How to change the ink cartridge
The Mailsend Essential ink cartridge is easy to swap. Takes around two minutes — no tools needed.

Open the ink cover
Press the release button on the right-hand side of the machine. The ink cover will pop open.

Remove the old cartridge
Slide the old cartridge out towards you. Hold a paper towel underneath to catch any residual ink.

Insert the new cartridge
Remove the protective tape from the new cartridge, then slide it firmly into the slot until it clicks.

Close and test
Close the cover until it clicks shut. Run a test frank on a piece of scrap paper to confirm clean ink flow.

Troubleshooting
Common error codes
Most error codes on the Mailsend Essential can be resolved in minutes. Find your error code below. If the problem persists, call our UK support team.
ERROR E01
Ink cartridge not detected
Remove the cartridge, check the protective tape has been removed, and reinsert firmly until it clicks. If the error persists, try a replacement cartridge.
ERROR E03
Low ink warning
Your cartridge is running low. The machine will continue to frank until fully empty. Order a replacement cartridge now to avoid downtime.
ERROR E07
Connection error
The machine cannot reach the Royal Mail server. Check your ethernet cable is firmly connected. Restart the machine. If the problem continues, contact your IT team to whitelist the Royal Mail Mailmark server.
ERROR E12
Paper jam
Open the front flap and gently remove any jammed mail. Do not force the paper — if it tears, small fragments may remain. Close the flap and press the reset button to continue.

How many letters a day can the Mailsend Essential handle?
The Mailsend Essential is designed for businesses sending up to 100 letters per day. If your volume is higher, we’d recommend looking at the Mailsend Prime or Mailsend Pro which offer higher-capacity feeders and faster throughput.

What happens at the end of a lease?
At the end of your lease term you have three options: renew your lease (often at a reduced rate), upgrade to a newer or larger machine, or return the machine with no further obligation. We’ll be in touch before your term ends to discuss what works best for you.
Is there a warranty or support included?
Yes. Purchased machines come with a 12-month warranty. Leased machines include full maintenance and a swap-out guarantee — if your machine develops a fault, we’ll replace it. All customers get UK-based phone and email support from our Northampton team.
